Announcement: Email Communication Issues with Gmail / Google Workspace

Warmest greetings from Exabytes. 


We received feedback from a number of clients who encountered outgoing email communication issues with recipients that use Gmail or Google Workspace only.


If you encounter similar issues, here are the steps to help you go through this challenging period.


(A) Authentication

Gmail / Google Workspace is enforcing the use of SPF / DKIM / DMARC. This means that emails that are sent to Gmail without those elements have a high chance of getting rejected.


1) SPF

Sender Policy Framework. By default we apply: include:spf.mschosting.com — it contains all Exabytes IP range no matter you are on Windows or Linux shared hosting plan.


You may perform a lookup on your domain SPF by using the following tools:

If you are using a third-party DNS but are using Exabytes mail services, you may contact your current DNS service provider to add the following line in the TXT record.

2) DKIM

DomainKeys Identified Mail. It is pronounced “Di-Kim”. Say “Di-Kim” when you contact our support personnel on this setup.


DKIM uses a ‘private key’ to create a signature on the contents of the message that is attached to it. It is like a secret code that you share among your family members or trusted friends.


When the recipient’s mail server receives the mail, it will then ask the sender to provide a public key to decrypt the supplied signature.

3) DMARC

Domain-based Message Authentication, Reporting, and Conformance. It is pronounced “Di-Mark”. 


It allows the sender @ the company to publish a policy with the help of established SPF + DKIM and tell the recipient how to handle unauthenticated mails via my domain DMARC policy.


Examples:

(V) Protocol version - DMARC1

(P) - Policy - quarantine or reject

(PCT) - Percentage of mail subject to filtering - 0 - 100

(RUA) - Report URI of aggregated reports - Email Address

(RUF) - Report URI of forensic reports - Email Address


(B) Blocklist Inspection

Commonly called Realtime blacklist, DNSBL or RBL.


Examples:

(C) Check Domain Reputation using Google Postmaster Tools

It is an official tool provided by Google to keep track of your delivery result and reputation:

D) Divide the Content

Don't mix different types of content in the same message. 

For example, don't include promotion content in the purchase receipt message.
